n8n Membership Site Automation: Catch Churn Before It Happens
Build n8n membership site automation that scores churn risk daily, sends tiered retention emails, and logs recovery. Predictive, not reactive. Templates inside.
Most membership operators learn about churn from Stripe's cancellation email. By then it's over. As one founder on r/SaaS put it: "By the time I find out someone churned it's already done. I need to know when they're about to churn so I can actually do something." The cancellation notice is a postmortem. What's missing is the early warning.
n8n membership site automation can supply that warning. n8n is an open-source workflow tool, and a retention workflow can score every member daily for churn risk, sort them into tiers, and send each tier a different email, all before anyone hits the cancel button. The shift is from reacting to a cancellation to acting on a risk signal.
This post builds the predictive version. The one the popular guides don't.
What you can automate
- Scoring every member daily for churn risk from real behavioral signals
- Classifying members into tiers (safe, at-risk, critical, churned) and acting only on the actionable ones
- Generating a retention email tuned to each tier's tone and offer with AI
- Sending outreach automatically through SMTP or Gmail with no manual sends
- Logging every touchpoint to Google Sheets for open-rate and recovery analysis
- Posting a daily summary to Slack so the team sees what went out by tier
The lowcode.agency guide (lowcode.agency) covers renewal reminders and dunning well, but it triggers only on payment events, with no daily risk scoring and no tiered messaging by behavior. The Restflow walkthrough (restflow.io) is honest about being reactive: it fires after a churn event, with no predictive scoring and no risk stratification. Both wait for the damage. The gap is scoring the member while you can still keep them.
The churn-recovery pipeline
Schedule Trigger → Read members → Score risk (Code) → Classify tier
→ Filter (drop safe) → Prep tier context → OpenAI (write email)
→ Send → Log to Sheets → Slack summary
Daily, quiet, and it touches only the members who need touching.
1. Read every member
A scheduleTrigger v1.2 node fires daily. A Google Sheets node reads the Members tab: login frequency, last-active date, failed payments, card expiry, plan changes. These are the signals that predict churn long before a cancellation. Your member data can live in a database instead; the pattern is identical, just swap the read node.
2. Score the risk
Here's the step both ranking guides skip entirely. A n8n-nodes-base.code v2 node with jsCode applies a weighted formula across those signals. A member who hasn't logged in for three weeks and has a failed payment scores high; an active member on a healthy card scores low. No BI tool needed. The formula lives in the Code node where you can tune the weights as you learn what actually predicts churn for your product.
3. Classify and filter
The score maps to a tier: safe, at-risk, critical, or churned. A Filter node drops the safe members immediately, because emailing a happy member a "we miss you" note is how you create the doubt you're trying to prevent. Only the actionable tiers move forward. Restraint is a feature here.
4. Write the right email for the tier
Each surviving member gets tier-specific context: a subject line, a tone guide, and a discount code for the critical and churned tiers only. That context goes to the @n8n/n8n-nodes-langchain.openAi v2.1 node, which writes a personalized body. Output lands at $json.output[0].content[0].text. An at-risk member gets a warm nudge with no discount; a churned member gets a real win-back offer. The single-email approach the reactive guides use can't make that distinction. It sends everyone the same thing and wonders why recovery is flat.
5. Send, log, summarize
An SMTP or Gmail node sends each email. A Google Sheets node logs every touchpoint to a CampaignLog tab so you can measure open rate and revenue recovered over time. A Slack node posts a daily summary: emails sent by tier, counts, anything that failed. The log is what turns "we send retention emails" into "tier-3 win-backs recover 11% — let's spend more there."
The most common mistake in retention automation is messaging everyone. A happy, active member who gets a "come back, we miss you" email starts wondering whether something's wrong. Score first, drop the safe tier hard, and let the workflow touch only members whose behavior already signals risk. Fewer emails, higher recovery, no self-inflicted doubt.
Implementation patterns
Pattern 1: Daily weighted scoring. The score is recomputed every day from fresh signals, so a member's risk tracks their actual behavior, not a stale snapshot. This is the predictive core the payment-event guides lack: they only react when Stripe fires, which is far too late to change the outcome.
Sheets (members) → Code (weighted score) → Switch (tier) → branch per tier
Pattern 2: Tier-specific offers. Discount codes attach only to the critical and churned tiers. An at-risk member doesn't need a discount; they need a reason to log back in. Handing every wobbling member money trains people to wait for the coupon. Reserve the offer for where it actually moves the needle.
Classify tier → Prep context (discount only for critical/churned) → OpenAI
Pattern 3: Recovery analytics loop. The CampaignLog isn't decoration. Reading it back tells you which tier and which message recovered revenue, so next month's weights and offers improve. A retention workflow without a log is guessing; with one, it learns.
n8n nodes you'll use most
| Node | Purpose |
|---|---|
n8n-nodes-base.scheduleTrigger v1.2 | Runs the daily scoring pass automatically |
n8n-nodes-base.googleSheets | Reads member records and logs every touchpoint |
n8n-nodes-base.code v2 | Applies the weighted churn-risk formula |
n8n-nodes-base.switch | Routes each member to their tier branch |
@n8n/n8n-nodes-langchain.openAi v2.1 | Writes the tier-tuned email body; output at $json.output[0].content[0].text |
n8n-nodes-base.slack | Posts the daily recovery summary to the team |
Getting started
- Run n8n (self-hosted or Cloud) and create a new workflow.
- Connect your member data: a Google Sheets Members tab or your database, with login, payment, and plan fields.
- Add a Code node with a weighted scoring formula and map the score to a tier field.
- Add a Switch node to branch by tier and a Filter to drop the safe members.
- Prep tier-specific context (subject, tone, discount for critical/churned only) in a Set node.
- Wire the OpenAI node to write each email, then an SMTP or Gmail node to send.
- Log to a CampaignLog tab, add a Slack summary, drop a daily
scheduleTriggerat the front, and test.
The exact weighted-scoring formula and the per-tier prompt shapes are documented on the Membership Churn Recovery Engine page.
Browse the retention templates →The Membership Churn Recovery Engine ships this end-to-end: a daily scheduleTrigger reads members from Google Sheets, a weighted algorithm scores each one and classifies them safe, at-risk, critical, or churned, GPT-4o-mini writes a tier-specific retention email (warm nudge, discount, or win-back), it sends via your SMTP or Gmail, logs every touchpoint to a CampaignLog tab, and posts a Slack summary. It's part of The Complete n8n Templates Bundle, a one-time lifetime license to the whole catalog plus future templates, which pays off if you run more than one of these automations.
The score-tier-act backbone reaches beyond memberships into broader retention work like the win-back side of market research automation and the segmentation patterns in content distribution automation. Wherever you've got member or customer records, the daily-scoring loop applies. For operators who also want to surface what members are saying publicly, the Community Opportunity Scanner watches the forums while the recovery engine watches the accounts.
